Job Purpose

The Moodle LMS Administrator is responsible for overseeing the daily operations, performance, and security of the Moodle Learning Management System (LMS) to ensure seamless access and functionality for all users. This role involves configuring system settings, managing upgrades, implementing integrations, and collaborating with educators to design and maintain engaging online courses. The administrator will also analyze user engagement data, troubleshoot technical issues, and deliver training to ensure effective and efficient use of the LMS platform.

Duties and Responsibilities

  1. Administer and oversee the day-to-day operations of the Moodle LMS, ensuring system performance, accessibility, and security.
  2. Configure system settings, manage platform upgrades, and implement plugins and integrations to enhance functionality.
  3. Collaborate with instructors and course developers to design and organize engaging online courses and multimedia content.
  4. Manage the upload of course materials, assignments, and assessments while maintaining a structured course layout.
  5. Administer user accounts, roles, and permissions to ensure appropriate access for students, instructors, and administrators.
  6. Troubleshoot technical issues for users and provide prompt support to maintain a positive learning experience.
  7. Set up and manage grading systems, including gradebooks and automated assessment tools, to streamline evaluation processes.
  8. Generate detailed reports on student progress, course completion rates, and overall platform usage metrics.
  9. Design and deploy feedback tools, such as questionnaires, surveys, and polls, to gather actionable insights for platform improvement.
  10. Analyze feedback data to identify trends and recommend strategies to enhance user engagement and learning outcomes.
  11. Develop and deliver training sessions for instructors and staff on effective Moodle usage and best practices.
  12. Create and maintain user guides, FAQs, and support documentation to facilitate self-service learning for platform users.
  13. Ensure all course materials and system configurations comply with institutional policies and eLearning standards (e.g., SCORM, xAPI).
  14. Conduct regular audits of course content to maintain relevance, usability, and accessibility for diverse users.
  15. Monitor platform performance, analyze usage statistics, and identify opportunities for improvement.
  16. Stay updated on Moodle updates, eLearning trends, and emerging technologies to implement innovative solutions.
  17. Act as a project lead for Moodle-related initiatives, ensuring timely delivery and alignment with organizational goals.
  18. Collaborate with instructional designers, IT teams, and program coordinators to optimize the platform’s impact on learning outcomes.

MINIMUM REQUIREMENT

Educational Qualification and work Experience

A Bachelor’s Degree in Information Technology, Education Technology, Computer Science, or a related discipline. A Master’s Degree in Instructional Design, Education Technology, or related fields would be advantageous.

At least 3-5 years of proven experience as a Moodle LMS Administrator, IT administrator, or technical support officer. Proven track record in managing eLearning tools and platforms. Demonstrated experience in developing and implementing reporting strategies and analytics solutions. Proven ability to lead technical projects with a proven record of meeting objectives and deadlines. Experience supporting higher education institutions, corporate training, or large-scale training projects

Certifications related to eLearning design, LMS management, and instructional design are critical. Examples include: Moodle LMS Administrator Certification (if applicable).

Certifications such as CompTIA, ITIL, or others focusing on systems and IT service management. eLearning certifications, such as Instructional Design, eLearning Development, or SCORM Certification.

Specialized Training in Advanced training in Moodle LMS administration, integration of third-party plugins, and advanced reporting tools. Training on user experience design, system upgrades, or other technical advancements that align with platform use.

COMPETENCIES REQUIRED

Technical Competence

  • Moodle LMS Administration Expertise:
    • Proven experience configuring, maintaining, and upgrading Moodle LMS environments.
    • Familiarity with server environments (Linux, Windows Server) and database management tools (MySQL, PostgreSQL).
    • Proficiency with Moodle plugins, integrations, and customization to meet user and institutional needs.
  • Systems Configuration & Platform Maintenance:
    • Ability to configure system settings and manage system upgrades in accordance with best practices and security protocols.
    • Knowledge of implementing learning tools like SCORM and xAPI standards for compliance.
  • Data Analysis & Reporting Proficiency:
    • Experience with generating, analyzing, and interpreting detailed reports using Moodle’s analytics and external reporting tools.
    • Competence in tracking and leveraging data on user engagement, course completion rates, and other key learning metrics.
  • IT Troubleshooting & User Support:
    • Ability to identify, diagnose, and resolve technical issues, ensuring minimal downtime and a positive user experience.
    • Proficiency in providing technical assistance to a range of users (students, instructors, administrators).
  • Knowledge of Security Protocols:
    • Experience implementing security protocols to ensure the safety and privacy of data stored on Moodle platforms.
    • Familiarity with cybersecurity best practices as they apply to LMS environments.
  • Familiarity with eLearning Standards:
    • Expertise in managing and supporting standards like SCORM, xAPI, AICC, and other related frameworks for content interoperability.

Technical Skills:

  • Proficiency in Moodle LMS installation, configuration, and performance monitoring.
  • Database management and familiarity with server administration.
  • Familiarity with front-end design adjustments, coding in HTML/CSS, and customization via PHP.
  • Troubleshooting technical issues in collaboration with IT teams and administrators.

Project Management Skills:

  • Ability to oversee multiple projects related to LMS upgrades, user training, or system analysis.
  • Experience in planning, implementing, and assessing timelines, budgets, and performance against organizational goals.

Training & Development Skills:

  • Designing and delivering training sessions to onboard instructors and administrators on Moodle’s latest features and functionalities.
  • Creating user guides, FAQ manuals, and other training tools to ensure user-friendly self-service support.

Analytical Skills:

  • Strong ability to interpret reports and data metrics for decision-making purposes.
  • Evaluate trends to assess user engagement, system performance, and content relevance.

Adaptability & Continuous Learning:

  • Staying abreast of changes to Moodle, emerging technologies, and innovative learning trends.
  • Quick adaptation to changes or technical updates that affect learning management systems.
